Why you can’t run a business (or a CRM) on a free Gmail address
Here’s the thing. If you’re running any business — home services, consulting, courses, whatever — off a free Gmail account, you’re already behind. You’ll name the business, add yourself as the only user (you can always add more later), and tell Google you already own a domain. Since the domain is already sitting in Cloudflare, Google can talk directly to Cloudflare and add most of the records for you automatically — no manual record-hunting required, most of the time.

What if Google and Cloudflare don’t sync automatically?
Sometimes the automatic handshake just doesn’t fire. When that happens, you add the MX record manually: type MX, use the “@” symbol for the root domain, point it at Google’s mail server, and set priority to 1. That’s it — that one record is what lets your domain send and receive email at all.
None of this is hard once you’ve seen it done once — but it does have to happen in this order: domain, then Workspace, then the MX record if it isn’t added automatically. Skip a step and you’re troubleshooting email problems for weeks instead of minutes.

What’s the difference between the root domain and a subdomain?
The root domain is the main one, like yourcompany.com. A subdomain sits in front of it, like mail.yourcompany.com. Keeping this distinction in mind matters as you connect more tools to your domain.
Why does the MX record matter if my email already sends fine?
The MX record tells the internet which server handles your domain’s incoming mail. If it’s missing or misconfigured, mail sent to your address can bounce or never arrive, even if outgoing mail seems to work.
